Get your ATOL reports signed off on time

The CAA only accepts the Annual Accountants’ Report from a designated ATOL Reporting Accountant. We check your passenger and revenue figures, sign the reports and help you renew without delays.

The ATOL renewal year

Licences run from 1 October to 30 September

  • 1 AugSubmit a complete application and Part 2 by this date for the lowest renewal fee
  • 31 AugNo early-submission fee reduction for applications completed after this date
  • 30 SepLicence year ends

What the scheme is

The ATOL Reporting Accountants’ Scheme was set up by the Civil Aviation Authority with the professional accountancy bodies. It has applied to all ATOL holders since 1 April 2016.

Its purpose is to make sure the financial information ATOL holders give the CAA is accurate. Reports must come from an accountant who understands both the travel industry and the specific requirements of the ATOL scheme.

To sign your reports, an accountant must

  • be registered with the CAA and have completed its online ATOL training
  • meet the requirements of their professional accountancy body
  • be independent of your business
  • hold professional indemnity insurance at the level the CAA sets

If your accountant is not designated, the CAA will not treat your forms as complete, and your renewal can be held up.

The reports we sign

You submit your renewal through the CAA’s ATOL portal and enter our email address as your accountant. The forms then come to us to review, complete and sign.

Annual Accountants’ Report Part 1

Passengers and revenue

Confirms licensable passengers booked, passengers carried and revenue, on a departure-date basis. Standard and Small Business ATOL holders complete it.

First-time renewals, and licences the CAA has renewed for six months only, may not need it.

Annual Accountants’ Report Part 2

Figures from your accounts

Confirms key figures from your annual accounts. It is generated from your renewal application, so it reaches us only after you have submitted.

Not needed for Franchise ATOLs authorised for under £5 million revenue and 1,000 passengers, or for licences under the Joint ABTA-ATOL scheme.

Where the CAA makes an accountant’s report a condition of your licence, we carry out the work and report to the CAA.

How a renewal works with us

Most delays come from late data, not the report itself. Starting early keeps you on the lowest fee.

  1. Agree a timetable

    We plan the work back from the August deadlines, around your year end and when your accounts will be ready.

  2. Bring your APC returns up to date

    If you submit ATOL Protection Contribution returns direct to the CAA, any that are outstanding will delay the release of Part 2.

  3. Submit your application

    Complete your renewal on the ATOL portal and enter our email address as your ATOL Reporting Accountant.

  4. We review and sign

    We reconcile passenger and revenue figures to your booking system and accounts, raise any queries with you, then complete and sign Parts 1 and 2.

  5. Meet any CAA conditions

    If the CAA sets conditions before granting your new licence, we help you deal with them.

  • Booking system reports of passengers and revenue by departure date
  • Your annual accounts and latest management accounts
  • A reconciliation of booking data to your accounts
  • APC returns and payment records
  • Details of any trust or escrow account
  • A copy of your renewal application as submitted

ATOL reform

The CAA is reforming how ATOL protects customer money. Its consultations have looked at keeping customer payments separate in trust or escrow accounts, and at basing the ATOL Protection Contribution on each holder’s risk. Final rules were still being developed when this page was written. We keep clients up to date as the CAA confirms changes.
